Privacy Policy
Last updated: October 14, 2026
Tin Poppy Retreat (“we,” “us,” or “our”) respects your privacy. This policy explains how we collect, use, protect and share personal information when you visit tinpoppy.ca, contact us, book accommodation, arrange a wedding or event, or subscribe to our emails.
Personal information we collect
Depending on how you interact with us, we collect:
- Contact details, such as your name, email address, telephone number and mailing or billing address.
- Reservation and transaction information, including accommodation, dates, guest numbers, payment status and booking correspondence.
- Wedding or event details, such as contact information, schedules and preferences needed to arrange your event.
- Information you choose to provide, such as special requests or dietary and accessibility needs.
- Newsletter preferences and information about email delivery, opens and link clicks.
- Technical information about website visits, such as browser and device details, pages visited, referring websites and approximate location. Our website and service providers may also receive IP addresses and cookie identifiers.
We collect information directly from you and, where relevant, from booking platforms or someone authorized to arrange a booking on your behalf. Please obtain permission before providing another person’s personal information.
How we use your information
We use personal information to:
- Answer inquiries and manage bookings, payments, refunds and guest communications.
- Prepare for your stay and coordinate weddings or events.
- Provide services or accommodate requests you have made.
- Send newsletters and promotional offers with the consent required by law.
- Understand website traffic and email engagement, improve booking information and assess our marketing.
- Maintain business records, resolve disputes, prevent misuse and meet legal obligations.
We limit collection, use and disclosure to purposes that are reasonable and relevant to these activities.
Consent and your choices
We explain why we need personal information when we collect it. Consent may be express or, where appropriate and legally permitted, implied from your request (for example, when you provide contact details so we can answer an inquiry).
We seek additional consent for new purposes where required. Booking a stay or submitting an inquiry does not, by itself, subscribe you to our newsletter.
You may withdraw consent by contacting us, subject to legal or contractual restrictions and reasonable notice. We will explain any effect on services you have requested. Declining marketing does not affect your ability to book with us.
When we share information
We do not sell or rent your personal information.
We share information as needed with providers that help operate our business, including:
- Beds24, for reservations and booking communications.
- Stripe, for payment processing.
- Mailchimp, for newsletter subscriptions and email campaigns.
- Website hosting, email, technical support and professional service providers.
- Wedding and event providers, such as coordinators, caterers, photographers and officiants, when needed to deliver your agreed services.
We limit information shared to what is needed for the relevant purpose and obtain consent where required, including for sensitive information such as dietary or accessibility needs.
We may also disclose information when required or permitted by law, including in response to valid legal requests.
If you book through Airbnb, Vrbo or another platform, that platform’s privacy policy also applies to its handling of your information.
Cookies and website analytics
Our website and booking services use cookies and similar technologies to support website functions and understand how visitors use them.
We use Google Analytics to understand matters such as which pages visitors view, how they find our website and which devices they use. Google processes information under its own privacy terms.
You can manage or delete cookies through your browser settings. Blocking certain cookies may affect booking or other website features. Google also offers a Google Analytics opt-out browser add-on for supported browsers.
We obtain consent for non-essential tracking where required by applicable law.
Email newsletters
If you subscribe, we use Mailchimp to send seasonal news, offers and updates. Mailchimp provides delivery, open and click reports that help us understand engagement.
You can unsubscribe at any time using the link in a marketing email or by contacting us. We act on unsubscribe requests within 10 business days.
Unsubscribing from marketing does not stop essential messages about an existing booking, payment or event.
Storage, security and retention
Some service providers store or process personal information outside British Columbia or Canada. Information processed abroad may be subject to the laws of those countries and lawful access by their authorities.
We use reasonable administrative, technical and physical safeguards appropriate to the information we hold. Access is limited to people who need it for their work. No method of electronic transmission or storage is completely secure.
We retain personal information for as long as reasonably needed for the purposes described here and to meet legal, accounting and contractual requirements. When it is no longer needed, we securely destroy it or remove identifying details, subject to applicable retention requirements.
Access, corrections and privacy concerns
You may contact us to request access to your personal information, ask how it has been used or disclosed, request a correction, withdraw consent or raise a privacy concern.
We may need to verify your identity before responding. We respond within applicable legal time limits and explain any lawful restrictions on access. Requests to delete information are subject to records we must or are legally entitled to retain.
If we cannot resolve your concern, you may contact the Office of the Information and Privacy Commissioner for British Columbia.
Changes to this policy
We may update this policy as our services or practices change. The revised version and date will appear on this page. Where required, we will notify you of significant changes and obtain consent before using your information for a new purpose.
